We are currently inviting applications for the post of Administrative Manager to support the activities of the Clay Mathematics Institute (CMI). This is a senior professional services role within the University of Oxford, with line management provided by the Deputy Head of Administration and Finance of the Mathematical Institute and day-to-day direction from the President of the CMI.
The Administrative Manager will take a leading role in managing and supporting the international activities of the CMI, including the recruitment of research fellows and senior scholars, the organisation of mathematical meetings worldwide, the publication of mathematical work, and the award of prestigious international prizes. The postholder will be responsible for the effective and efficient day-to-day non-academic management and administration of the CMI.
The role carries significant financial responsibility, including preparation and oversight of an annual budget of over £3m, monitoring expenditure, authorising payments, and ensuring compliance with relevant UK and US financial regulations, University policies, and the requirements of an American charitable foundation operating internationally. The postholder will provide financial and operational advice to the President and Board of Directors and assist in the development and implementation of strategic and business plans.
The Administrative Manager will oversee personnel matters in collaboration with University HR and relevant US advisers, including recruitment, contracts, right-to-work compliance, and staff development. They will also manage operational matters including events, communications, publications, facilities, and liaison with University and external bodies as required.
This is a highly autonomous role requiring substantial managerial and financial experience, excellent organisational and interpersonal skills, sound judgement, and discretion in handling sensitive matters. Occasional international travel may be required.
