Old Courses

At the end of each year, in July or August, the IT team (after discussion with the Academic Administrator) will move the previous academic year's courses into the Archive category. They will also:

  • Delete Forum posts (Announcements, Discussions)
  • Delete assignment (problem sheet) submissions, including feedback and grades
  • Delete class signups and attendance data (but not the course enrolments)

The course materials (stored in Moodle) typically remain accessible to staff and students (and the general public, where appropriate) for 6 years, although the exact location (URL) and format may vary over time and should not be relied upon.

Lecture recordings (stored in Panopto) may be archived if they are not accessed for a period of 13 months, then deleted after 24 months, in accordance with the University's Educational Recordings Policy.

New Courses

After the old courses are archived, the IT team will clone the courses (without the enrolment data) ready to be populated for the new year. They will also:

  • Update the year in the course titles
  • Move dates in other fields forward by 1 year

The academic administration team will then review and update each course as appropriate, including:

  • Course synopses
  • Lecturers, tutors and TAs
  • Reading lists
  • Cohort enrolments

Courses will then be made available to the lecturers to review and update as required, and published when ready.
