AV Systems in the Video Conferencing Room (VC1)

Overview

The AV in this room is similar to other teaching spaces, but with some elements optimised for the online teaching via Microsoft Teams for the Taught Course Centre. The room has a tracking camera, rather than a camera per whiteboard as in neighbouring rooms; it also has a Microsoft Teams Room system, as used in the meeting rooms, which in turn means the touchscreen controls are slightly different.

Basic usage

First, select the appropriate mode from the lectern touchscreen. For a Teams lecture/meeting, you will typically want to select "MS Teams Lecture" then either "Whiteboard Lecture" or "Presentation & Whiteboard".

Then use the Microsoft Teams Room (MTR) touchscreen to join/start the call.

When you are finished, please end the Teams call using the MTR touchscreen, and also tap the power button icon at the bottom of the lectern touchscreen, then tap "Power down" to return the system to standby mode - this resets everything ready for the next event.

Teams room modes

The following modes are available that are specific to Teams Room Mode:

  • Whiteboard Lecture - No projector screens.
  • Presentation & Whiteboard - One projector screen showing PC or laptop input + one whiteboard.
  • Audience & Whiteboard - One projector screen showing cameras/chat + one whiteboard.
  • Audience & Presentation - Two projector screens showing cameras/chat + PC or laptop input (make sure sharing is enabled on the MTR touchscreen)
  • Receive Lecture - Two projector screens showing cameras/chat + remotely shared screen (someone else in the meeting should share their screen via Teams - if no-one is sharing, it will revert to the local PC input)

Scheduling a call

When you schedule a Teams meeting in advance, invite the room using the email address @email.

Support & troubleshooting

If you have trouble with an MS Teams call, please check that:

  • Teams Room Mode is enabled on the lectern touchscreen. Select "MS Teams Lecture" or "Activate Teams Mode" if not.
  • The camera and microphone are both enabled on the MS Teams touchscreen (bottom-right corner). If they have a cross through them, tap to re-enable them.
  • Screen sharing is enabled on the MS Teams touchscreen (bottom-right corner). It should show a square with an "X" inside. If it shows a square with an "up" arrow, tap it, then press "Connected device" then "Share" to re-enable. Sharing should only be disabled when someone else in the call is sharing their screen ("Receive lecture" mode) - when giving a whiteboard lecture, sharing is still required for the tracking camera.
