Room Hire Charges for Department Members Organised Events

Departmental conferences and events are our priority and the Conference and Events team are here to help you with costing and wider support. Please email to talk to the team about what we can offer.

Current departmental policy is that all conferences and events pay the full concessionary room hire cost for use of any of L1-L6, C1-C6, North/South Mezzanine, Common Room, or Boardroom in the Andrew Wiles Building and not use the funds for other event expenditure at the expense of the room hire contribution. To facilitate this, we expect you to include room hire in any funding application. The Research Facilitation Team can help you with this (email @email ).

We understand that you may not have sufficient funds to meet the full cost or that in some cases, your grant will not allow the relevant expenditure. In such cases, please provide written evidence (to @email) that this is the case to inform further discussions as to what resources and facilities can be provided and what charge there would be for them.  Please note, applications for waived or reduced room-hire costs will be assessed by the Head of Administration (@email).

The department will normally waive room hire fees for small-scale mathematics research events organised by members of the department that take place in one of the classrooms or L6 and are up to two days in length, subject to the availability of both the space and support from the Conference and Events team. Please liaise with the Conference and Events team to confirm whether this applies in your case.

All room hire contribution goes towards the ongoing costs of the Department.
